monday.com automation actions calculator
Will your monday.com automations last the month? List them with how often each one runs and how many actions a run takes. The answer is the actions a month against your plan's quota, and the day you would run out. Nothing you type leaves your browser.

The quota on each plan
- Free and Basic: no automations or integrations. They start at Standard.
- Standard: 250 automation actions a month.
- Pro: 25,000 a month.
- Enterprise: 250,000 a month, and the only plan that can buy more.
Each plan has a second quota of the same size for integrations. monday.com's own note on Standard: 250 actions are typically used up within days by accounts that notify several people or map several columns per automation.
How many actions one run takes
- One for most templates, such as "when a status changes, delete the item".
- One per person when a notification goes to the board's subscribers or a team rather than one person: six subscribers, six actions.
- One per address when the Gmail or Outlook integration emails a text column that holds several addresses, a team or the subscribers. Those come out of the integration quota, not this one, unless the email step sits inside a custom automation.
- One for the item, plus one for each mapped Status, Tag, People or Dropdown column and the Update section, when a run creates an item. Recurring "every time period" templates count the same way on every run.
- Condition steps in the workflow builder count too, each time they run.
Ways to use fewer actions
- Notify one person or the item's people column instead of every board subscriber.
- Map only the columns the new item needs; each mapped Status, Tag, People or Dropdown column is an extra action.
- Trigger on the one status value that matters, such as "status changes to Done", rather than on any change to a column, so the automation runs only when it has work to do.
- Open the Autopilot hub and its Usage tab, or Administration and Usage stats, to see your top automations, boards and creators, then switch off what nobody needs.
- Check the apps you installed: monday.com notes that marketplace apps can create automations that use actions in the background.
Apps count too
monday.com's actions article, in its section on the Standard plan, says actions used in relation to any monday app count toward the automation quota. By that rule, an automation built on an app's trigger or action, such as Stale & SLA's template that escalates a breached SLA to a people column, uses actions like any other; the Usage tab in the Autopilot hub shows what each one actually used. - What counts as one action?
- Each thing a run does. "When a status changes, delete the item" uses one action each time it runs. A run that notifies the board's subscribers uses one per subscriber, and a run that creates an item uses one for the item and one more for each mapped Status, Tag, People or Dropdown column and the Update section.
- Do integrations use the same quota?
- No. Each plan has a second quota of the same size for integrations. But a custom automation that includes integration blocks counts toward the automation quota, and so do actions used in relation to any monday app.
- What happens when the quota runs out?
- monday.com's article describes it for Standard: the first time, you get an email and the overuse carries into the next cycle. After that, reaching 100% starts a 72-hour grace period, then automations pause until the cycle renews or you upgrade. Only Enterprise accounts can buy extra actions.
- When does the month start?
- It depends on how you pay: on a monthly plan, the cycle renews on the day of the month the account was activated; on a yearly plan, on the 2nd of every month. The calculator counts a 30-day cycle from its first day.
- Is what I type sent anywhere?
- No. The sums run in your browser, and nothing you enter leaves it.
